Five things decide whether accountant access is real: what it costs, what your accountant can change, how you take the access back, whether the tool knows your tax regime, and whether their edits are logged. The list exists because the phrase means different things on different pricing pages. Sometimes it is a free invite, sometimes a user seat under another name. On one product here the vendor's own help centre would not open for any tool we have, so this page says "not confirmed" and gives the reason.
What should accountant access in a receipt scanner include?
The five are cost, scope, revocation, regime awareness and a log of edits. Each one is checkable on a vendor's own pages, which is what separates them from words like secure or trusted. The rest of this page is arranged against those five, in that order, so all four products get asked identical questions.
Cost looks settled and often isn't: a product can advertise accountant access and still put it in the top tier, turning a collaboration feature into an upgrade decision in the week you least want one. Scope is where products diverge, between a window to look through and permission to correct what you find. Revocation matters the day you change accountants. Regime awareness decides whether the categories match the return. The log is what you want when somebody asks who moved a number.

What they get is bounded write access, not a viewing window. They can approve or flag an invoice, correct a supplier number, a date or a VAT rate, clear bank transactions in bulk, add entries your books are missing, and run exports. No billing, no plan or team changes, no bank or email connections, no deleting anything. The line is drawn in what your tax advisor can and cannot do.
Every write lands in an append-only log with their name and role and appears in your activity feed. Revoking from the same settings page bites at once, including on an open session, because it deletes their per-document decryption keys rather than flipping a flag.
The workspace knows your regime: 21 country tax profiles ship today, across Cyprus, Germany, Italy, France, Spain, Greece and Austria, driving the categories, VAT rules and deadlines your accountant sees in the tax-advisor cockpit. Data at rest sits in Frankfurt, with one documented few-second step outside the EU for document extraction. SparkReceipt: accountant and partner access
SparkReceipt puts the accountant invite in its Elite tier. Its accountants page lists "Invite your accountant and partner" among Elite features, and its pricing page, fetched separately on 2026-08-31, agrees: Elite is the only listed plan carrying that line and unlimited linked sub-accounts, at $16.65 a month, with a 50 percent promotional rate running that day.
Its FAQ names three ways an accountant gets what they need: export reports in standard formats, invite them for what the page calls "live, read-only access", or generate "shareable links with limited access".
The same page states the product is "Fully GDPR compliant", the company "EU-based, headquartered in Finland", running "EU data hosting with European data centers". That is the vendor describing itself on 2026-08-31.
Three things we could not source from SparkReceipt's own pages: how access is revoked, whether advisor edits are logged, and whether the product carries country tax regimes.
Shoeboxed: accountant sharing through sub-accounts
Shoeboxed's route is a user, not a role. Its business expenses management page, fetched on 2026-08-31, states that "you can add unlimited users to your account with any of Shoeboxed's paid plans", and describes a model where "you control who is able to have full account access on the sub-accounts (i.e. bookkeeper, accounts payable, etc.)". A separate line reads "Multi-user friendly (for easy access by finance teams, accountants, etc.)".
So the mechanism is current and the vendor names it: add the person, then limit what their sub-account sees. It is a different shape from a dedicated tax-advisor role and it sits behind a paid plan. Both are facts about packaging, not judgements about quality. Revocation, hosting, edit logging and regime awareness are not covered on the page we read.
Xero: the Adviser role, and what we could not check
Xero is here for a different reason than the others. It is a full accounting platform rather than a receipt-scanner-first tool, so a reader choosing it is buying a ledger that also handles documents.
The claim people arrive with is that Xero's Adviser role is free to add and can file VAT for the client. We are not stating that as fact. Xero's help centre at central.xero.com answered on 2026-09-08, but the page is assembled by JavaScript and converts to zero characters of readable text through every method we have, and we have deliberately declined to run a headless browser to get around it. Independent bookkeeping firms describe the role in consistent terms, and that counts for something, but a third-party blog is not the vendor.
So the Xero column reads not confirmed, and the limit is our tooling, not the product. Those pages read fine in an ordinary browser, and the day someone reads them, this page should carry what they say. If the Adviser role does file returns, that is one thing Xero does which TaxItEasy does not.
The five dimensions side by side
Read the unconfirmed cells carefully, because they are the point. "Not confirmed as of 2026-09-08" means we could not source that answer from the vendor, with the reason attached; it never means the feature is absent. Accountly gets no column: no documentation host exists to source one from, and a column of blanks would imply checks we never made.

Which one should you actually pick?
Depends on which of the five things you need. If you want your accountant in the books without paying for the privilege, TaxItEasy does that on the free plan. If you want one system that also files the VAT return, a receipt scanner is the wrong shape of tool, ours included.

If EU data residency is the requirement, two of the four confirm it: TaxItEasy at rest in Frankfurt, SparkReceipt stating EU hosting from Finland (2026-08-31). Shoeboxed and Xero are not confirmed as of 2026-09-08, and for Xero that is because the documentation would not open, not because nobody looked.

Which receipt scanning apps let you add an accountant for free?

Can my accountant edit or delete my data once I give them access?
Within bounds, yes; delete, no. An advisor can approve or flag an invoice, fix a wrong VAT rate or supplier number, sort and clear bank transactions, and add cash entries your books are missing. Billing, team management and deletion sit outside their reach entirely, and every write carries their name.
Is TaxItEasy GDPR-compliant for sharing with a tax advisor?
Everything at rest sits in Frankfurt, and the roles are written down: you are the controller, TaxItEasy the processor under a data processing agreement, your accountant a sub-processor under the engagement contract you hold with them. One processing step leaves the EU briefly, and that step is documented too.
Does TaxItEasy file my VAT return for me?
No, and it is not built to. TaxItEasy reads your documents, files them, matches the payments and keeps the period straight, so the numbers exist before the deadline does. Your accountant reviews what came out and files it under their own professional judgement. That division of labour is deliberate.
Can I revoke my accountant's access at any time?
Yes, from the same settings page you invited them on, and it takes effect at once, including on a session they have open. Their per-document decryption keys for your company are deleted rather than switched off, and other clients they serve are untouched. Nothing of yours is removed.
Does my accountant need their own paid subscription?
No. They accept an emailed invite, create an account from the link if they do not have one, and confirm the connection before anything of yours is visible. It costs them nothing, it costs you nothing, and it never uses one of the team seats your plan includes.
