A blank invoice and a half-remembered rule about VAT numbers is how most Cyprus freelancers lose an hour. The structure below is the whole invoice: every field EU law makes you show, in the order it belongs on the page, filled in twice so you can copy the shape and drop your own numbers in.
There's no file to download here and no generator running on this page. The template is the article, free to copy. Why each field exists, which article of the EU VAT Directive puts it there and what happens when one is missing: that's the companion guide, Cyprus invoice requirements. One disclosure before we start, since we sell software: TaxItEasy is our product, and the last section is about it.
What does a Cyprus invoice template need to include?
Eleven core particulars form the every-invoice set: issue date, sequential number, both parties' names and addresses, the VAT numbers, a description of the supply, the supply date if it differs, per-rate net amounts, the VAT rate, the VAT amount, and an exemption reference where relevant. Plus up to seven more that only switch on for specific transactions. Article 226 of the EU VAT Directive names all eighteen.
You will see fixed counts quoted around the web, and "14 mandatory fields" is the popular one. There isn't a fixed count: any flat list quietly drops something conditional . Those rules apply in Cyprus exactly as they do in every other member state.
One more claim worth killing early: no rule prescribes an invoice-number format. Article 226(2) asks for a sequential number that uniquely identifies the invoice, and that is the whole requirement . INV-YYYY-NNN is a readable convention, not law.

Three fields decide most of the guesswork. Your own VAT number belongs there once you're registered, which becomes mandatory in Cyprus above €15,600 of taxable turnover in the last 12 months ; below that line you invoice without a VAT number and without a VAT line. The supply date only appears when it differs from the issue date, which for project work it usually does. And the notice line stays empty until the transaction demands wording, which is the case in the second example.
Worked example: a standard 19% VAT invoice
A Limassol designer bills a Nicosia retailer for work delivered in August. Cyprus VAT applies at the standard rate of 19%, per the European Commission's VAT rates table as checked in July 2026 , so the invoice carries a normal VAT line and no special wording. Names, numbers and amounts below are invented.

Two things to notice. The supply date is filled because the work finished in August while the invoice went out in September, and that gap is exactly when Article 226(7) wants the date shown . The customer's VAT number is absent, which is fine here: it becomes a required particular when the customer is liable for the tax or receives an intra-EU supply, neither of which applies to a domestic sale .
If your line items sit at a reduced rate instead, the per-rate block is where that shows up. Cyprus also runs reduced rates of 9% and 5% and a super-reduced 3% , and which supplies qualify follows category rules worth checking with your accountant rather than guessing from a template.
Worked example: a reverse-charge invoice to an EU business client
Same issuer, German business customer, service supplied cross-border. Names, numbers and amounts are invented here too, and both VAT numbers deliberately fail their check digits. Three things change: the customer's VAT number becomes mandatory, every line goes to 0%, and the notice block gets the wording that makes the zero legal.

Reverse charge
The two words in the notice block are not a paraphrase you can improve on. Article 226(11a) requires the mention "Reverse charge" whenever your customer is the one who accounts for the VAT , and the customer's VAT number sits above it because that number is what identifies who picks the tax up instead .
Verify that VAT number in the EU's VIES database before you zero-rate anything. A number that doesn't check out is a zero-rating you may have to fund yourself later, and the check takes seconds; our help article on VAT schemes and VIES validation covers what the statuses mean.
The date field matters more here than on a domestic invoice. For intra-EU supplies and reverse-charge services to EU business customers, the invoice must be issued by the 15th day of the month following the month of supply, under Article 222(1) . September work, invoice out by 15 October. For purely domestic Cyprus sales the deadline is national rather than EU-wide, and it's one to ask your accountant about.
A simplified invoice template for small sales
Small sales get a shorter document. Article 226b fixes what a simplified invoice must show: the date of issue, identification of the supplier, the type of goods or services supplied, and the VAT payable or the information needed to calculate it. Where the document amends an earlier invoice, it also needs a specific reference to that invoice and to what changed .
The threshold is where care is needed. Every member state, Cyprus included, must accept a simplified invoice when the amount doesn't exceed €100 under Article 220a(1)(a), and may raise that ceiling as far as €400 under Article 238 after consulting the VAT Committee . Cyprus's own administrative figure isn't something we could confirm against a primary source, and the €85 that circulates online sits below the EU floor, which is reason enough to ask your accountant instead of copying it .
Is there a free downloadable Cyprus invoice template or invoice generator?
No file to download and no generator on this page. What's here is the full field structure, free to copy into whatever you already use. We checked the search results in August 2026 as well: nothing Cyprus-specific surfaced in the results we sampled, only requirements articles and generic samples.
That gap is genuinely open, and a designed file is on our list rather than in our hands. When it exists it gets linked here, and not a day before.
Worth knowing while you fill the structure in: a PDF sent by email counts the same as paper across the EU, provided your customer accepts that form and you can show authenticity of origin, integrity of content and legibility until the retention period ends. Ordinary business controls with an audit trail satisfy that, and an electronic signature is one example of how, never an obligation .
From template to sent invoice
The template solves the layout problem, not the repetition problem. Every invoice after the first means retyping your own address, remembering whether this customer takes reverse charge, tracking which number you used last and hoping nothing fell out of the sequence.
That's the part TaxItEasy's invoicing takes over. The editor holds the same fields you just filled by hand and mirrors them into the final PDF, so what you build is what your customer opens . Pick your VAT treatment from a dropdown, reverse charge for EU B2B among them, and the required notice text prints itself onto the PDF rather than waiting for you to remember the wording .
The VIES check this guide tells you to run before zero-rating happens in the editor while you type the customer's VAT number . Numbering runs as gapless year-scoped sequences with a gap report, so the series holds without a spreadsheet next to it . Mechanics live in the help articles on creating and sending an invoice and invoice numbering sequences.
Before anything leaves, TaxItEasy checks that every required field is there and refuses to finalize an invoice with one missing . A check, not a promise about how any authority will treat the document.
Then it stops on purpose. The per-rate totals feed your running VAT overview, your invoices stay stored for at least the six years Cyprus has required since 1 January 2026 , and your accountant reviews the quarter and files the return. How the whole loop fits together is in our Cyprus bookkeeping and accounting software guide. Your first invoice takes minutes on the free plan, and the freelancer tour is the shorter way in if you'd rather look first.
Frequently asked questions
What fields must a Cyprus invoice include?
Eleven core particulars from Article 226 of the EU VAT Directive apply to every invoice, plus up to seven that depend on the transaction, such as the reverse-charge or self-billing wording . There is no fixed count of "mandatory fields" — round numbers you see quoted are informal compilations. The companion requirements guide walks through each one.
Is there a free Cyprus invoice template to download?
Not from this page — there is no file here, and adding a download link that points at nothing would be worse than saying so. The full field structure sits in the article above, with two filled examples, and it costs nothing to copy into a document you already use.
Is there a free invoice generator for Cyprus?
No dedicated Cyprus invoice generator runs on this page, and our August 2026 search check found none in the results we sampled either. The query is answered by requirements articles today. The closest working equivalent is TaxItEasy's invoice editor, which is free to start and fills the same fields for you.
What VAT rate goes on a Cyprus invoice?
The standard rate is 19% , and Cyprus also has reduced rates of 9% and 5% plus a super-reduced 3% , per the European Commission's rates table checked in July 2026. Which goods and services fall into each reduced band follows detailed category rules, so confirm yours with your accountant.
What do I write on a reverse-charge Cyprus invoice?
The words "Reverse charge", exactly those, required by Article 226(11a) of the EU VAT Directive whenever your customer accounts for the VAT . The invoice shows no Cyprus VAT, and it must carry the customer's VAT number, which is what identifies who picks the tax up instead. Check that number before you zero-rate.
Can I use a simplified invoice for a small Cyprus sale?
Up to €100 yes: every EU member state must accept a simplified invoice at or below that amount, and may raise the ceiling as far as €400 . Cyprus's own administrative figure isn't confirmed by a primary source we could reach, and the €85 circulating online sits below the EU floor.
